Privacy Policy

Airport City Transfers (“we”, “us”) provides airport and city transfers in and around Glasgow through our website and the Airport City Transfers passenger app for iPhone and Android. This policy explains what personal data we collect when you use them, why, who we share it with, how long we keep it, and the rights you have under UK data protection law.
Data controller: Airport City Transfers, Glasgow, Scotland.
Phone: 0141 459 1615

1. What we collect
We only collect what we need to take, price, dispatch and support your journeys.
- Account details – your name, email address, mobile number and password (stored hashed). Created when you register in the app or book on our website.
- Booking details – pickup and drop-off addresses, dates and times, passenger and luggage numbers, flight number and arrival origin for airport pickups, vehicle chosen, fare, and any notes you add for the driver. Where you book for someone else, the lead passenger’s name and, optionally, a contact number.
- Location – with your permission the app uses your phone’s precise location to suggest a pickup point and to show your position relative to the driver during live tracking. Location is used while the app is open and is not collected in the background.
- Payment information – if you pay by card, your card details are entered directly into a secure form provided by our payment processor, Stripe. We never see or store your full card number. We hold a Stripe reference and the card’s last four digits and expiry so you can reuse a saved card. Apple Pay payments are handled by Apple and Stripe.
- Device and app data – a device identifier and push-notification token so we can send you booking updates, and basic technical data (app version, operating system) for diagnostics.
- Support messages – anything you send us through the in-app Help & support, by phone, email or WhatsApp.
- Driver journey data – during your trip we receive the driver’s live location so you can track your car. This is the driver’s data, not yours, but it is shown to you for that journey only.
We do not collect data for advertising, we do not use advertising identifiers, and we do not sell personal data.
2. How we use it and our legal basis
- To provide the service you booked (contract) – pricing quotes, taking and confirming bookings, allocating a driver, live tracking, meeting your flight, sending confirmations and reminders by push notification, SMS, email or WhatsApp, and taking payment.
- To run our business (legitimate interests) – keeping accounts and records, preventing fraud and misuse, handling complaints and disputes, and improving the app and our service.
- To meet legal obligations – tax and accounting records, and requests from regulators or law enforcement where the law requires.
- Marketing (consent) – we will only send you marketing emails or messages if you have agreed to receive them, and you can opt out at any time.
3. Who we share it with
We share personal data only with the parties needed to deliver your journey:
- Our drivers – the driver allocated to your booking sees your name, pickup and drop-off addresses, contact number, passenger and luggage numbers, flight details and notes, so they can carry out the job.
- CabZen – the booking and dispatch platform that runs our website, app and back office, acting as our data processor. Data is hosted in the United Kingdom and European Union.
- Stripe – payment processing and saved cards. Stripe’s privacy policy: stripe.com/gb/privacy.
- Google – Google Maps for maps, address search and routing, and Firebase Cloud Messaging for push notifications. Google’s privacy policy: policies.google.com/privacy.
- Apple – Apple Pay, where you choose to use it, and App Store services.
- Flight information providers – we look up the status of the flight number you give us so the driver meets you on landing. Only the flight number is sent, not your personal details.
- Messaging providers – used to deliver SMS, email and WhatsApp booking messages.
- Professional advisers and authorities – where required for accounting, legal or regulatory reasons.
Some of these providers process data outside the UK. Where they do, transfers are protected by UK-approved safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
4. How long we keep it
- Bookings and payment records – 6 years after the journey, to meet UK tax and accounting rules and to handle any disputes.
- Account details – for as long as your account is open. If you have not used your account for 3 years we may delete it.
- Location data – used in real time for pickup and tracking. The pickup point becomes part of the booking record; live tracking positions are kept for the journey record only.
- Support messages – 2 years after the conversation closes.
- Push tokens and device identifiers – until you sign out, delete your account or uninstall the app.
5. Deleting your account
You can delete your account at any time in the app under Account → Delete account, or by contacting us. Deletion removes your login and profile immediately. Records of completed journeys and payments are kept for the retention period above because we are legally required to keep them, but they are no longer linked to an active account.
6. Your rights
Under the UK GDPR and Data Protection Act 2018 you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased, where we have no legal reason to keep it;
- restrict or object to how we use it;
- receive a copy of the data you gave us in a portable format;
- withdraw consent at any time where we rely on it, for example for marketing.
To exercise any of these rights, contact us using the details above. We will respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
7. Security
Data is sent between the app, our website and our servers over encrypted connections. Card details are handled entirely by Stripe, which is certified to PCI DSS Level 1. Access to booking data is limited to our office staff and the driver carrying out your journey.
8. Children
Our services are not directed at children. You must be 16 or over to create an account. Children may of course travel as passengers on a booking made by an adult.
9. Website cookies
Our website uses essential cookies to keep the booking form working and, if you log in, to keep you signed in. Where we use analytics or embedded content such as maps or videos, those providers may set their own cookies as described in their policies. You can control cookies through your browser settings.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. Significant changes will be highlighted in the app or on our website.
